My number one issue with amateur groups is that they don't want to spend a dime more on the facility and to cut cost think they can walk in, open the house at the same time, and start a show 30 minutes later. It never works. I'll tell them they need 1 to 2 hours to set up but they won't listen. I've also seen shows where each segment is directed by a different committee and each leader in the committee thinks they are in charge of the entire show. I end up getting asked the same question 39,348 times on those shows.
The best advice I could give any amateur group is spend some money hiring an experienced stage manager and then listen to them and do as they say. It would save everyone a lot of trouble.
